GLO PAMPER LTD - CORPORATE WELLBEING BOOKING TERMS & CONDITIONS

1. Definitions
1.1 “Glo” refers to Glo Pamper Ltd.
1.2 “Client” refers to the company or individual booking services.
1.3 “Services” refers to any corporate wellbeing service provided by Glo, including but not limited to massage, yoga, sound baths, mindfulness, workshops, and multi‑site wellbeing events.
1.4 “Therapist/Practitioner” refers to any professional engaged by Glo to deliver the Services.
1.5 “Booking” refers to any confirmed service request, whether one‑off, recurring, or multi‑site.
2. Bookings & Confirmations
2.1 A booking is considered confirmed once written acceptance is received from the Client or a Client contract/SLA has been issued.
2.2 For multi‑site or multi‑therapist events, confirmation includes the allocation and scheduling of therapists across all locations.
2.3 Recurring bookings (weekly or monthly) will renew automatically unless cancelled in accordance with Section 7.
3. Client Responsibilities
3.1 The Client must provide a safe, clean, and suitable space for the Services.
3.2 The Client must ensure adequate access for therapists, including parking or unloading where required.
3.3 The Client must notify Glo of any health and safety restrictions, building access requirements, or security protocols at least 48 hours before the booking.
3.4 For massage services, the Client must ensure participants complete any required health questionnaires prior to treatment.
4. Therapist Allocation & Substitution
4.1 Glo will allocate qualified, insured therapists to each booking.
4.2 Glo reserves the right to substitute therapists where necessary due to illness, emergency, or operational requirements.
4.3 For multi‑site events, therapist allocation may involve multiple practitioners across different locations; this constitutes a confirmed booking once scheduling is completed.
5. Pricing & Payment Terms
5.1 All prices are exclusive of VAT unless stated otherwise.
5.2 Invoices are issued upon booking confirmation or completion of services, depending on the agreement.
5.3 Payment terms are 14 days from the invoice date unless otherwise agreed in writing.
5.4 Late payments may incur interest at 4% above the Bank of England base rate.
5.5 Travel fees may apply for locations outside major cities or in remote areas.
6. Changes to Bookings
6.1 Any request to amend the date, time, location, or service type must be made in writing.
6.2 Amendments are subject to therapist availability and may incur additional charges.
6.3 Reducing the number of therapists or service hours is considered a partial cancellation and will be charged in accordance with Section 7.
7. Cancellations & Charges
7.1 Standard Cancellation Terms (Single‑Site, Single‑Therapist Bookings)
- 7.1.1 Cancellations made 14–30 days prior to the booking date: 50% of the total booking fee.
- 7.1.2 Cancellations made 7–14 days prior to the booking date: 75% of the total booking fee.
- 7.1.3 Cancellations made within 7 days of the booking date: 100% of the total booking fee.
7.2 Multi‑Site or Multi‑Therapist Events
- 7.2.1 For multi‑site or multi‑therapist events, once therapists have been confirmed and scheduling completed, cancellations will be charged at 100% of the total booking fee.
- 7.2.2 If the Client requests to postpone rather than cancel, Glo may, at its discretion, transfer the booking to a future date only if no therapist fees or operational costs have already been incurred.
- 7.2.3 If postponement is not possible, the cancellation fee remains 100%.
7.3 Recurring Weekly or Monthly Bookings
- 7.3.1 Recurring bookings require 30 days’ written notice for cancellation.
- 7.3.2 Sessions cancelled with less than 48 hours’ notice will be charged at 100% of the session fee.
- 7.3.3 Repeated short‑notice cancellations may result in termination of the recurring agreement.
8. Therapist Safety & Conduct
8.1 Therapists reserve the right to refuse treatment if a participant is unwell, intoxicated, or behaving inappropriately.
8.2 The Client is responsible for ensuring a safe working environment.
8.3 Any abusive or unsafe behaviour will result in immediate termination of the session with no refund.
9. Liability
9.1 Glo holds full public liability and professional indemnity insurance.
9.2 Glo is not liable for:
- Losses arising from delays caused by traffic, access issues, or circumstances beyond reasonable control
- Injuries resulting from undisclosed medical conditions
- Damage to property caused by unsuitable working environments provided by the Client
9.3 The Client is responsible for ensuring participants follow therapist instructions.
10. Force Majeure
10.1 Glo is not liable for failure to perform obligations due to events beyond its control, including but not limited to extreme weather, illness, strikes, or national emergencies.
10.2 In such cases, Glo will make reasonable efforts to reschedule the booking.
11. Confidentiality & Data Protection
11.1 Both parties agree to maintain confidentiality regarding sensitive business information.
11.2 Glo processes personal data in accordance with GDPR and its Privacy Policy.
12. Governing Law
12.1 These Terms & Conditions are governed by the laws of England and Wales.
12.2 Any disputes will be subject to the exclusive jurisdiction of the English courts.
