  • Therapists: relevant booking details (venue address, guest names, medical information) are shared with the therapist assigned to your booking. Therapists are required to store this data securely and in line with their insurance obligations, typically for up to 7 years
  • Klaviyo: we use Klaviyo as our email marketing platform. Your email address and marketing preferences are stored on Klaviyo’s platform in order to send you marketing communications. Klaviyo acts as a data processor on our behalf and processes data in accordance with UK GDPR
  • Payment processors: your payment is handled by a third party payment processor. We do not store card details
  • Analytics providers: we use Google Analytics to collect anonymised data about website usage. No personally identifiable information is shared
  • Legal and regulatory bodies: where required by law or court order
  • Business transfers: in the event of a sale or restructuring of our business, your data may be transferred as part of that process. We will take steps to ensure your privacy rights continue to be protected

 

8. How Long We Keep Your Information

We retain your personal information for as long as necessary to fulfil the purposes outlined in this policy, including our legal and contractual obligations. As a general guide:

  • Booking and enquiry records: retained for a reasonable period to manage any queries or disputes arising from your booking
  • Medical health forms: retained by the assigned therapist for up to 7 years in line with their insurance requirements
  • Marketing preferences: retained until you unsubscribe or request deletion. Suppression records (recording that you have opted out) are kept indefinitely to ensure we do not contact you again
  • Website analytics data: retained in anonymised form in accordance with Google Analytics’ standard retention periods

  • Right of access: you can request a copy of the personal information we hold about you, free of charge
